Task Management

Manage your entire task portfolio through natural language. Retrieve, assign, reprioritize, update, and close tasks without leaving your current Microsoft 365 surface.

Key Capabilities

Unified Task View

Ask for a daily briefing, overdue items, or tasks within a date range. The assistant retrieves your full task portfolio instantly.

Task Assignment & Reassignment

Assign tasks to any team member by name or email. Reassign as priorities shift — ownership changes are reflected instantly in Beak Desk.

Priority Management

Set and update task severity — Critical, Major, or Minor — to ensure the most important items surface first in every view.

Notes & Follow-Ups

Add contextual notes, status updates, or follow-up details to any task without leaving the conversation.

Example Commands

Daily briefing:

"What's on my plate today?"

Overdue items:

"Show me all overdue tasks assigned to my team."

Reassignment:

"Reassign the vendor onboarding task from James to Divya."

Task closure:

"Mark task #1042 as complete — resolution: reviewed and approved by legal."

Add a note:

"Add a note to the budget task: waiting for CFO sign-off before proceeding."

Priority & Severity Levels

Every task in Chief of Staff carries a severity level. This controls how tasks surface in views, briefings, and notification urgency. Default severity is Minor unless specified.

SeverityDefinitionExample Use Case
CriticalUrgent, business-blocking, time-sensitive. Appears first in all views.Board approval pending, production incident, regulatory deadline
MajorImportant work with near-term impact. Standard work escalation.Vendor contract review, quarterly budget sign-off, team deliverable
MinorLow urgency, informational or nice-to-have. Default level.Document updates, non-urgent follow-ups, FYI action items

Escalation example:

"Escalate the vendor onboarding task to critical — legal deadline is tomorrow."

Best Practices

  • Start each day by asking for a daily briefing to surface priority items
  • Use severity levels consistently — reserve Critical for truly business-blocking items
  • Add resolution notes when closing tasks to maintain a clean audit trail
  • Reassign tasks promptly when ownership shifts to keep accountability clear
