Intelligent Task Capture
Chief of Staff eliminates manual task creation by reading the full context of your emails and Teams conversations and converting them into structured, actionable records in Beak Desk.
Key Capabilities
Email-to-Task (Outlook)
Summarizes email threads and converts them into structured tasks directly from the Outlook Copilot sidebar. The AI extracts who, what, and by when — no manual data entry.
Teams Chat-to-Task
Converts Teams discussions into clearly defined tasks. Reads conversation history and generates task titles, descriptions, and assignments automatically.
Smart Context Capture
When a task is created from an email or chat, the full conversation context is attached. Assignees receive the complete picture — not just a one-line instruction.
Auto-Identified Parties
The logged-in user is automatically set as the requester. Assignees are resolved using Microsoft 365 identity — no email addresses to type or confirm.
Example Commands
From Outlook — task from email thread:
"Create a task from this email thread and assign it to Priya."
From Teams — task from channel conversation:
"Convert this Teams thread into a task for the infrastructure review."
With deadline and priority:
"Create a task for Rahul to finalize the Q2 budget by Friday — mark it critical."
Best Practices
- Open the relevant email or Teams conversation before invoking the assistant — it reads the currently visible thread
- Specify the assignee by first name; the assistant resolves their full identity from your Microsoft 365 directory
- Include a deadline in your request to ensure the task is created with a due date
- Add priority keywords like
criticalormajorduring creation to set severity upfront
Note: Task creation is non-destructive — the original email or Teams conversation is never modified. The task is created as a new record in Beak Desk with the conversation linked as context.
